At Maxiva, we are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose and safeguard your information when you visit our website, complete the Maxiva Impact Assessment, or use our technology and marketing services for nonprofits. 2. Information We Collect

We may collect information about you in a variety of ways. The information we may collect includes:

  • Personal Data: Personally identifiable information, such as your name, email address, organization and role, that you voluntarily give to us when you fill out a contact form, request or complete the Maxiva Impact Assessment, register for a Client Portal account, or purchase Expert Hours packages.
  • Assessment Data: Information about your organization's tasks, time, costs and systems that you enter in the Maxiva Impact Assessment (see section 3).
  • Financial Data: Financial information, such as data related to your payment method (e.g., valid credit card number, card brand, expiration date), is collected and stored directly by our payment processor (Stripe) when you make a purchase. We only receive limited transaction details, not your full credit card information.
  • Derivative Data: Information our servers automatically collect when you access the site, such as your IP address, your browser type, your operating system and your access times.

3. The Maxiva Impact Assessment

The Maxiva Impact Assessment is a free tool that estimates the time and cost of manual work at your organization. When you request or complete it:

  • What we collect: your contact details (name, work email, organization, role and, optionally, a referral code) and your answers about tasks, hours, who does the work, hourly costs, other operating costs, the systems you use and your priorities.
  • Please don't include donor or beneficiary details. The assessment does not ask for personal data about donors, beneficiaries or other third parties, and you should not enter it.
  • How we use it: your answers are confidential. We use them to prepare your report and follow up with you about it, including an invitation to an optional discovery call. We may include them in anonymized, combined findings that never identify your organization. If you give separate consent, we may also send you occasional updates and resources.
  • Who can see it: access is limited to the Maxiva team members who review assessments.
  • Referral codes: if you enter a referral code, we record it so that the referring sales partner or client can be credited.
  • Estimates: figures in your baseline and report are estimates based on the information you enter and general assumptions. Actual time and cost savings depend on your systems, processes and implementation, and are not guaranteed.
  • How long we keep it: Placeholder Retention period for assessment submissions that don't become clients

4. How We Use Your Information

Having accurate information about you permits us to provide you with a smooth, efficient and customized experience. Specifically, we may use information collected about you to:

  • Respond to your enquiries and requests, and prepare your Impact Assessment report.
  • Create and manage your Client Portal account.
  • Process your purchases, transactions and payments.
  • Deliver the technology and marketing services you requested.
  • Respond to customer service requests and support needs.
  • Send you administrative information, such as updates to our terms, conditions and policies.

5. Disclosure of Your Information

We do not sell your personal information, and we will not share it with third parties for their marketing purposes. We may share information we have collected about you in certain situations:

  • Third-Party Service Providers: We may share your information with third parties that perform services for us or on our behalf, including payment processing (e.g., Stripe), form handling, email delivery, hosting services and customer service tools.
  • By Law or to Protect Rights: If we believe the release of information about you is necessary to respond to legal process, to investigate or remedy potential violations of our policies, or to protect the rights, property and safety of others, we may share your information as permitted or required by any applicable law.

6. Cookies, Analytics and Fonts

This website does not use analytics or advertising cookies. We will update this policy and add a cookie notice before we introduce analytics. The site loads its typefaces from Google Fonts, which means your browser requests font files from Google's servers and shares your IP address with Google for that purpose.

7. Security of Your Information

We use administrative, technical and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.
